Position Overview
This position would be the part of the Operations team and would be acting as the coordinating unit/liaison between employee engagement activities/visits of the Donor and the State Teams. This position will assist the Officer Communications - Employee Engagement (Donor) based at Mumbai.

Roles & Responsibilities

  1. Responsible for direct coordination between the employee engagement activities/visits of the Donor and the state teams
  2. In cooperation with Program Teams, take responsibilities and provides overall logistical coordination to facilitate and host local and international employees of the donors for all types of employee engagement visits to support Room to Read's (RtR) Programs.
  3. Develop employee engagement visit itineraries and ensure that all final itineraries are being communicated to relevant people.
  4. Responsible for reviewing employee engagement visit requests and follows up with development team with any queries.
  5. Responsible for direct coordination and planning with school
  6. Orients school staff and RtR field staff on the format for the employee engagement visit including the talking points.
  7. Ensures to follow best practices for hosting employee engagement donor visits and highlighting programs
  8. Be an RtR spokesperson during employee engagement donor visits by being able to accurately and confidently convey RtR’s message and educational situation in country.
  9. Act as a main point of contact for employee engagement activities with GO donor team on ad hoc projects and requests for information.
  10. Coordinate and manage PR and local awareness activities.
  11. Assist in and build relations and improve collaboration with the donor.
  12. Assist in managing and implementing a proactive communication program to enhance RTR relationship with donor in their employee engagement activities, government and other stakeholders.

Reporting and Documentation

  1. Responsible for sharing Project Completion Report including managing photography of project sites to be shared with India Development team and state team
  2. Ensures to take feedback from the employees of the Donor on their visits
  3. Responsible for tracking data on the employee engagement visit and providing it to the GO donor engagement team to be used for reporting and strategy development
  4. Captures learning experiences (best practices and lessons learned) based on employee engagement activities of the donor and state team feedback and applies them to future visits.
  5. Assist Communication department in developing guidelines on employee engagement visits and completion of report including photography.
  6. Assist in training for new and existing India staff on the employee engagement visit coordination process and best practices for hosting and highlighting programs to donors. Develops and maintains training resources.
  7. Assists the INCO operations team in donor report completion, documentation and any other operational task that may come from time to time
  8. Follow up with other state teams, where RtR has operations, on different employee engagement reporting timelines and completion.

Qualification & Experience

  1. Bachelor’s degree in any discipline
  2. Master’s degree preferred.
  3. 2-3 years of experience.
  4. Excellent coordination skills
  5. Strong written and oral communication skills
  6. Open to travel.
  7. Good interpersonal skills and a team player.
